This is a fast paced position which requires strong knowledge and skill in a variety of disciplines including program development, facility operations, cash handling procedures, staff development, budget development, policy development, brochure preparation, risk management, customer service and community involvement.

Exceptional communication skills are required along with excellent organizational and high caliber customer service skills. Ideal candidate must be highly motivated, a self-starter and dedicated with the ability to motivate and encourage staff. Individual should be energetic and personable and promote team spirit.
Duties: The Facility Supervisor is a member of the recreation department and reports to the Superintendent of Recreation. The Facility Supervisor is a full time position that requires a flexible work schedule including nights and weekends. This person is responsible for the overall general operations of the Clauss Recreation Center.

1. Responsible for overseeing the front desk operations. Those operations include processing program registration, answering the telephone, operating the cash register, providing general customer service to the public.
2. Ensure the building is properly staffed during hours of operation from open to close.
3. Schedule the use of facilities for area programs and events, including the necessary program set-ups and cleaning.
4. Coordinate and facilitate requests by the public for facility rentals including the CRC, Lodge, Pavilion and other district facilities.
5. Recruits, selects and employs adequate staff to effectively operate the CRC front desk and facility.
6. Perform functions of part time staff, in their absence, or secure additional assistance when needed.
7. Orientates, trains and supervises all assigned part-time staff members.
8. Prepares annual job performance evaluations for all assigned part-time staff.
9. Acts on employee problems in a timely and effective manner.
10. Completes payroll information for assigned staff bi-weekly as needed.
11. Maintains accurate financial closing records and reports.
12. Responsible for daily deposits.
13. Administration of program payment plans as necessary.
14. Prepares and manages annual budgets.
15. Supervises the expenditure of funds and income for assigned programs and operates within the established budget.
16. Orders, purchases and coordinates office supplies and facility equipment.
17. Works with the Marketing and Communications Coordinator to disseminate news letters, flyers, press releases, the brochure and other public relations materials to promote the park district.
18. Cooperates with the Parks Department to ensure quality field and facility environments.
19. Receives and responds to citizen inquires and complaints.
20. Implements appropriate safety and disciplinary practices and is a member of the safety committee.
21. Responsible for the operation of a variety of office equipment, including computers, printers, calculators, copier, fax machine, telephones, postage machine, laminator, etc.
22. Maintains a clean, safe and orderly working environment.
23. Supports district policies and operational procedures.
24. Attends training sessions as identified by the Superintendent of Recreation.

Internship Recommendations

Students,

As you are aware, there are a number of websites that post internship opportunities online - teamworkonline, pbeo.com, nrpa.org, il-ipra.org, and of course many more.

Although it is tempting to rely only on these sources due to the convenience factor, I have found that it really works to your disadvantage to do so. Consider this:

1) Competition - the advertised internships are viewed by students in similar programs all across the nation. The applicant pool for most of these opportunities will be extremely high. Your resume will be one of many, and most organizations have only a few spots available! Odds are not on your side!

2) Organizations know that advertised internships will have a higher number of applicants. While this may mean they can select a higher quality candidate, it also means sorting through *many* (sometimes hundreds) of applications. For this reason many elect NOT to advertise their internship opportunities - it simply takes too much of their time. Supply and demand is on their side.

I strongly encourage you to take some initiative and CALL organizations to inquire about internship opportunities - even organizations who are not advertising anything. This is particularly worthwhile in recreation and tourism industries. I know the idea of calling someone can be intimidating, but your risk will be rewarded. Opportunities you find in this manner will have fewer applicants (less competition for you), and your odds of landing the position are increased. Many of my students have been able to "build their own" internship opportunity with an agency who has never worked with an intern before. But beware- some organizations expressly do NOT want to be called - particularly *major league* professional sport organizations (not true of MiLB, AFL, AF2, etc) so do some research online first.

Who do you call? You should avoid calling GM's, and instead focus on directors and assistant directors (i.e. Director of Community Relations). Alternatively, you can call the HR department and ask them who the appropriate contact person is to discuss internship opportunities. Remember, these are professionals, and they are used to working with people. Let them know what you are interested in (and yes, you should have a good idea of what your internship/professional goals are and why this organization might be a good fit for you BEFORE you call), and they will take it from there...Too nervous to call? Writing an e-mail is OK too (many organizations list their staff directory, others suppress it), just be prepared to follow up in a few days (either by phone or with another e-mail) - lets face it, they are busy too!

Illinois Campus Recreation - WELLNESS Internship

Wellness Services Internship Expectations:

POSITION PURPOSE: Position responsibilities include assisting the Assistant Director of Wellness Services in various administrative responsibilities for the operation of programs within the area of Wellness Services. day to day management of Wellness Services; through the Group Fitness, Instructional Kitchen and UI Wellness Center Partnership. The Wellness Intern will primarily assist with data collection, event planning, Instructional Kitchen maintenance, program supervision and Kitchen monitor responsibilities.

TYPICAL JOB DUTIES:
1. Development Opportunities:
• Create Budget tracking Binder reflecting all aspects of the Wellness Services area: Instructional Kitchen; groups, classes, programs, Group Fitness; programs/outreach, Pass/Yoga Mat Sales, headcounts, Wellness 101, Wellness Breaks, Livewell/Learnwell and Survey data.
• Work with UI Wellness Campus initiatives and partners
• Enter data into Wellness Services Database/Analyze Data to reflect impact and outcome affecting Students, Campus Recreation users and those participating in UI Wellness initiative-directed programs.
• Address any patrons’ concerns when opportunities arise.
• Work Kitchen Monitor Events/Programs.
• Maintain Instructional Kitchen
• Assist with any requested education /training on UI Campus
• Increase diversity in Wellness Services programs.

2. Practice proper safety procedures:
• Respond to any injuries and complete the proper documentation.
• Up-to-date certifications in CPR/AED/BBP/First-Aid.

The Assistant Director of Wellness Services will set the expected scheduled hours before the semester begins. A fifteen (15) minute break is not a state, nor a federal mandated rule. However, it is University protocol that we honor the 15-minute break for each 4-hour shift worked (including back-to-back shifts). Regular contact with local media is required so strong communication skills are very important. As an extension of the Hockey Services Department interns will participate in updating team statistics, player prospect research and organization and execution of training camps. Strong research and problem solving skills are a must as well as the ability to work occasional evenings and weekends. (1-2 internship openings).

2010 BMW Championship
Tournament Sales & Marketing Intern

The Western Golf Association is announcing an internship position for its 2010 tournament season. The Sales & Marketing Intern will assist the tournament staff in sales, making cold calls to prospective buyers, forecasting new leads, processing ticket orders, managing the customer database, shipment of ticket orders, filing and research, administrative tasks and other tasks to be determined. The individual will also run and manage the Tickets FORE! Charity consignment program, where they will target and prospect potential non-profit groups to participate in the program. Interns will also solicit local golf courses and facilities to post BMW Championship materials in their facilities.

The internship will provide valuable experience in the sales & marketing of a professional golf tournament. Housing is not provided, and candidates should reside or have access to housing in the Chicago land area. The Daytona Cubs Internship Program is one that is designed to give interns experience in all aspects of running a minor league baseball team. The interns selected for the program will be rotated through each department, giving them an experience that is not focused in one area. *** Ballpark Entertainment/Production*** The Ballpark Entertainment intern will be responsible for recording, tape logging and dubbing highlight clips from Astros games. The selected individual will also be responsible for supporting both the community development and conference center departments through its various events and player appearances. This includes operating video cameras, editing, and other production responsibilities. Other duties include creating graphics such as headshots. The internship is more suited for an individual who possesses experience in computer based programs, such as Avid, Final Cut Pro, After Effects, and Photoshop. The intern candidate should want to pursue a career in sports production. The intern candidate must be able to work all games (which may include day, night, weekend and holiday games). This intern will assume additional roles on an as needed basis. A media production major is recommended for this internship.



*** Facilities Management *** The Facilities Management Intern is responsible for an array of tasks which include hands-on engineering duties as well as office and clerical work. The selected individual will place orders with contractors, meet the contractors on the job site to show the problem, and process all paperwork relating to the problem. This intern may assist the engineering crew while they fix motors, reassemble gears, check piping, and take apart and put together all types of machinery. This intern should have an interest in engineering techniques and be proficient in Excel. The selected individual will provide customer service and deal with clients on a daily basis. The selected individual will need to handle and satisfy all customer needs within the conference center in a professional manner. The intern will hook up all Audio/Visual equipment for the clients (which may include laptops, projectors, mixing boards, etc.) and may be required to run through a tutorial to show the clients how to use each piece of equipment. Another major responsibility of this intern is being familiar with the set up for press conferences. Recommended majors include engineering, sports management, and A/V. Proficiency in Excel and Word is required. Knowledge of AutoCad is a plus. This intern will assume additional roles on an as needed basis.


*** Groundskeeping *** This intern's main responsibility will be to learn and assist with the maintenance of the field and ballpark grounds ensuring the field is game and camera-ready. This may include stripping the infield, keeping the dirt moist, learning fertilizer calculations, patching infield holes, leveling home plate, trimming trees outside the ballpark, picking up trash, edging the infield, and many other related duties on an as need basis. This intern will also assist with the maintenance of all equipment as well as help set up pre-game activities such as batting practice. The intern will assume additional roles on an as needed basis. The selected intern should have familiarization with mowers, blowers and tractors and must be a hard-worker and team player. Please note-this intern will work on the field at all times.


*** Guest Services *** The Guest Services intern plays an integral role in ballpark operations on game day and helps oversee a staff of approximately 250 ushers, ticket takers, and ballpark supervisors. Candidates should have strong interpersonal and communication skills, demonstrate initiative, and be prepared to work extended hours and weekends. The selected individual manages lost and found by maintaining a log and addressing messages/inquiries left by guests. Other responsibilities include responding to fan feedback emails on a daily basis, updating personnel files, and generating staffing sheets. The Guest Services interns will also be in charge of staffing for conference center needs, such as tours, parties and other events. The Guest Services intern regularly networks with a variety of departments within the organization as well as external business partners and will assume additional roles on an as needed basis. Must be proficient in all Office programs, including Excel.


*** Human Resources *** The Human Resources intern will play an integral role in the recruiting efforts of future interns and other part time staff positions. This intern will perform administrative and clerical duties which include filing, faxing, processing paperwork, making phone calls, prepping letters, organizing and creating personnel files and other necessary functions. Other duties include helping create termination reports and other reports with a strong emphasis using Excel. The selected individual assists in the issuance of stadium credentials/badges year round. Desired major for this intern is Human Resources, but not required. The selected individual must be professional and able to handle a large amount of confidential information. This individual must feel comfortable asking questions, interviewing, and passing along information in a professional and confidential manner. This intern will assume additional roles on an as needed basis.


*** Market Development *** The Market Development department's primary goal is the development of niche marketing programs targeted at continuously expanding the ball club's fan base. The department works in such areas as Spanish-language marketing and community programs, special niche and general market sponsored events, team website content development, as well as Spanish television and radio broadcast. The Market Development intern will assist in keeping track of all Astros international media efforts, including print publications, radio and TV broadcast spots and the Spanish website, developing programs to increase traffic to the Spanish website, and serving as a liaison with sponsors via email and phone and may sometimes include in-person meetings. This intern will also assist in the editing and publish articles for the team's Spanish publication, "Cronicas de los Astros" and with the supervision of the Spanish radio broadcast. Other responsibilities include translating all game recaps in Spanish in a timely manner for dissemination among the Astros extensive international media database. The intern is also responsible for keeping an up-to-date clippings file to keep track of the Astros international media coverage. At times, the selected intern will interview players in Spanish as well as translate press releases into Spanish. Other duties include organizing bi-lingual baseball clinics and other Spanish community initiatives by coordinating and logistically planning the events with the players. The intern will assume additional roles on an as needed basis. MUST BE fluent in both Spanish and English (writing, speaking and translating) and have extensive copywriting knowledge. Majors for this intern may include Marketing, Sports Management and Spanish.


***Photography*** This intern will photograph Astros home pregame and postgame activities including batting practice and fireworks. Subject matter will be assigned by a member of the Media Relations department. This intern could be asked to make occasional trips to events off-site such as tree planting or player appearances. They will also work with the team photographer to organize and label all materials and photos as well as help with the archiving of Astros historical images. She or he will also help with the photo placement within Astros publications, including the monthly magazine as well as photo requests from office personnel and the media. Interns must be able to provide their own camera and equipment. All photos taken by the intern will be the property of the Houston Astros Baseball Club. Photos can be reproduced for personal usage or usage in the intern’s portfolio. Candidates must have a flexible schedule to able to attend all home games, including weekends and holidays throughout the summer. The combine commitment of office and game time duties will average 35 hours a week. This intern needs a very strong understanding of Adobe Photoshop CS4. To be considered for this internship, you will be asked to submit a portfolio of samples demonstrating your skill in sports and non-sports photography.


*** Risk Management/Security ***The Risk Management/Security intern will provide basic clerical assistance such as filing, preparing monthly in-house vendor First Aid reporting for billing purposes, data entry, monthly statistical reports and update and maintain in-house medical worker comp payments. This intern will also aid in litigation research in preparation for responses to interrogatories, maintain certificate of insurance system, assist re-pricing medical bills, various research projects, building walk-through inspections, and worker comp Q & A with TPA regarding research information. The selected individual must be a strong public speaker. There may be parties/tours ranging from a handful of people up to 200 people at any given time. This intern is also responsible for creating and coordinating educational learning center activities which can be incorporated and used in the Texas School System. This includes researching ideas and being a creative thinker. This person will also have the duty to sell and increase the event schedule and arrange accommodations for each event. This person will also have an active role in office work, data base management and marketing tours/birthday parties. All interns assist full-time staff members in a large number of tasks and help the department works as a team to reach organizational goals. Interns will learn the computerized ticketing system and will assist in supervising game-day ticketing employees. Other responsibilities may include telemarketing, planning the annual picnic for season ticket holders, controlling season ticket usage and incentive programs, organizing group sales programs and involvement in the day-to-day operations of the ticket office. Overall, there are more entry-level positions in ticket operations than in any other front office department in sports. The opportunity is greater for interns in ticket operations to “get their foot in the door” than interns in other departments. Finally, due to the number of interns taken in ticket operations a certain “camaraderie” exists which always makes for a summer of close friends and fun.
